The Benefits and Limitations of Spreadsheets

Most people are familiar with spreadsheets. Not everyone has the need to use them on a daily basis, but others work with them all the time as part of their job role. In addition many self employed people and those who have their own businesses – whatever the size – use spreadsheets to handle data of all kinds.

Spreadsheets have lots of benefits to keep in mind. Firstly they can be used to add up and calculate formulas in various ways. For example if you keep a record of all your business sales in an Excel or Access spreadsheet, you will be able to see the running total of all your sales in an instant at all times. This is far better than having to manually add everything up all the time.

Another big benefit is that you can set up formulas to help you make calculations on a continuing basis. Let’s say you keep a spreadsheet that records all your income during a given month. If you are self employed you should ideally squirrel a certain amount away every month to cover your tax payments when they fall due. You can set up a spreadsheet to automatically give you the percentage of your income that should be set aside. All you have to do then is to make the actual transaction to send the money over to a different bank account.

This is just touching on the benefits of spreadsheets – there are many more as well. But for all the benefits you will get from them, there may come a time when they cannot do all the complex calculations you want them to. If this is the case you should consider hiring an Excel or Access programmer to create something that will fulfil all your needs.

There is a good reason for this. No two businesses are exactly the same. Furthermore different people will run different businesses in different ways, depending on their outlook and way of working. They can then create a program specific to the requirements and needs of that very business.
