Employers are required to deliver or mail/(postmark) employee copies of W2s by February 1, 2010. Employers need to file Copy A of Form W-2 with the entire page of Form W-3 by March 1, 2010. However, if you file electronically, the due date is March 31, 2010. Filling out all those Form W2's can be quite a headache, especially if you have to also file Form 1099's to report earnings paid to non-employees, like contractors and service providers.
One way to make the job of filing W2's and 1099's a lot easier and faster is to use specialized software that helps you compile each employee's payroll information and automatically populate all the necessary forms. However, small business owners need to be careful to purchase the right kind of software. The software you purchase should decrease your burden, not cost you an arm and a leg or require you to spend unnecessary time learning how to use it. Let's look at a few quick tips for determining whether a particular W2 and 1099 software is right for your small business:
Step 1: Shortlist Your Requirements
You first need to decide what kind of w2 and 1099 printing software would be suitable for you.
- Do you just print data on red-ink forms or you want to print SSA approved substitute forms of W-2 Copy A and w-3?
- Do you need this w2 and 1099 software that can support multiple companies?
- Do you have a lot of employees that you need software that can print multiple forms by one click?
- Do you need import feature to save your valuable time?
Step 2: Decide Upon Your Budget
You need to decide how much you intend to spend on this w2 software. Some software will charge on you based on the number of companies and employee. Some may charge you extra money to support laser substitute forms, multiple companies and import features. Some software, such as ezW2, just charge by one price.
Step 3: Compare Different Options Available
Once you shortlist your favorite options that suit your requirement then it is a good idea to compare all the features offered by each software. This would help you to narrow down your list to two ¨Cthree good software.
Step 4: Trial Version
Your W2 software should be easy to use and not require a lot of time to learn. Download the trial versions or ask your local vendor to give you the CDs to test software. You should be pretty familiar with the software before you make any serious purchase.
Step 5: Make a Purchase
Once you decide upon your favorite software and get familiar with it, you can think about making a purchase.
Tips:
Try before you buy - Choose software with most comfortable graphical interface. It should be easy to navigate and handle.
